About you

We are looking for an organised, process driven administrator to join our Marketing Department and take part in helping us build and manage many of the ‘behind the scenes’ processes that drive the Marketing function. If you are a list-builder, love keeping everything in order, thrive on establishing and driving process and like to interact with many different groups both in and outside the business - you’ll find this role is a good fit.  

About the role

There are a lot of moving parts to keeping our Marketing department running smoothly and this role plays a critical part in keeping the engines going! Working closely with many stakeholders across the Marketing team, this candidate will interface regularly with departmental stakeholders; our internal Legal, Finance and Procurement groups; and third parties such as vendors and event organisers to ensure we have all the right details and documentation completed in support of our Marketing activities.

The role will include but will not be limited to:

  • Drive purchase order, invoice and legal processes in support of field events and other marketing activities
  • Ensure contracts are signed, Purchase Orders are opened and invoices are submitted in an organised and timely fashion
  • Assist with managing shipments and orders for tradeshow materials, swag and more
  • Assist with developing process documentation and playbooks
  • Prepare materials an updates on field program progress for meetings and management
  • Research new events and vendors as needed 
  • Provide support to the field marketing team by helping to manage and coordinate activities related to tradeshows, conferences, events, and meetings by identifying, coordinating, and assembling event requirements, developing assignments and schedules, coordinating mailing lists, more


  • Ability to work in a dynamic fast-paced environment. As a scale up organization, we run fast here at HiBob and this team and role is no exception! 
  • Strong organizational and multitasking skills.  This role is juggling many projects concurrently - your ability to stay organized and clear with the tasks on hand is critical to your success!
  • Strong project management skills.  This role has a lot of stakeholders relying on their ability to ‘keep the ball moving’.  Your ability to see every project through from beginning to end is key.  
  • Experience working as part of a global team.  From San Francisco to Sydney, and everywhere in between, you  will work closely with many stakeholders across the globe.  
  • Strong interpersonal skills and a compelling communicator.  This position is highly interactive.  Your ability to communicate clearly and help bring clarity to complex discussions and scenarios is key. 
  • Minimum 2-3 years of professional experience.
  • Ideally have have a good understanding of B2B SaaS and can quickly come up to speed on the market and environment, 
  • Proactive, self-starter
