Building with OpenAI: 2,500 GPTs and 90% adoption

We use people-first AI every day. Nearly all Bobbers use ChatGPT as part of their daily workflows. 

Together, we’ve developed over 2,500 internal GPTs, designed around HiBob’s real-world needs. This kind of big-picture thinking meets the reality of day-to-day work to make sure every agent actually helps the people using it. 

That approach also inspired the creation of our AI Mind team, a group that leads HiBob’s AI innovation and supports our cross-functional network of AI Leaders who turn ideas into practical tools that serve the entire business. To streamline those ideas from proof and concept to scalable solutions, the team developed a five-step process to turn GPTs from an idea into digital agents capable of solving real business problems.

Our framework includes:

1. Idea and proof of concept. Bobbers propose GPT ideas based on the pain points they experience and explore how AI can simplify or enhance specific workflows.

2. Build. Our engineers collaborate with AI Leaders to turn ideas into secure, compliant agents using ChatGPT Enterprise and our internal systems.

3. Adoption and enablement. Once built, we work with agent owners to roll out each GPT with the right documentation, context, and training so teams know how to use them and how they can help.

4. Maintenance. Feedback loops and usage data help us refine each agent’s performance and relevance, ensuring it continues to add value over time.

5. Scale. We make our GPTs available for reuse and adaptation, publishing them to an internal directory for reuse across departments.

We’re using GPTs in Sales, Marketing, Product, Design, Legal, and, of course, we’re using AI in HR. The goal isn’t to automate humans out of the process but to help them do more with more.  

And these internal GPTs aren’t just useful for the HiBob team. They’re helping us create customer-facing features on the Bob platform, designed to support HR digital transformation. HR leaders can now use Bob’s AI features to interact with their data naturally, asking questions, surfacing insights, and making decisions in minutes instead of hours.

Trusted, responsible AI adoption

AI adoption can only be successful when people trust it. We’re living in a climate where many people are worried about what AI means for their jobs. This is why we’ve taken a transparent approach from the start. We want to ensure responsible AI adoption and instill a sense of trust in AI and what it can offer.
