These Event Terms and Conditions (these “Terms”) govern your registration for, attendance at, and participation in any event, webinar, conference, roundtable, workshop, meeting, or other program hosted, sponsored, or organized by any HiBob company or affiliate (“HiBob”, “we”, “us”, or “our”) (each, an “Event”).
By registering for, attending, accessing, or participating in an Event, you agree to these Terms. If you are registering or participating on behalf of a company or other organization, you represent that you have authority to bind that organization to these Terms.
You may register for and participate in an Event only in accordance with these Terms and any additional instructions, rules, policies, or requirements made available on the applicable Event registration page.
To register for an Event, you will be required to provide accurate and complete registration information and, where applicable, pay any Event fees. Registration is subject to availability and may be closed, limited, or declined at our discretion.
Unless otherwise stated on the Event page, you must be at least 18 years old to attend or participate in an Event.
The agenda, speakers, sessions, venue, format, timing, platform, or capacity limits are subject to change at any time. We will notify you promptly of any such change.
You agree to comply with all Event rules, venue rules, platform rules, and reasonable instructions provided by us, our representatives, the venue, or Event service providers.
We are committed to providing a safe, respectful, and professional environment for all Event participants.
You agree not to engage in conduct that is unlawful, unsafe, disruptive, discriminatory, harassing, abusive, threatening, or otherwise inappropriate. You also agree not to interfere with the operation of the Event or the participation of others.
For in-person Events, you and your belongings may be subject to reasonable security checks, identity verification, and venue access controls. If you refuse to comply with applicable security procedures, we may deny you entry or remove you from the Event.
We may deny, limit, revoke, or cancel your registration or participation, without refund, if we determine that your conduct violates these Terms or may create a risk to the safety, security, or experience of others.
We will process personal data collected in connection with Events in accordance with our Privacy Notice available at: https://www.hibob.com/privacy/privacy-policy/.
This may include information you provide during registration, information generated through your participation, communications with us, badge scans, session attendance, feedback, and, where applicable, images, audio, or video captured during the Event, which may be used for event promotion, marketing, communications, and archival purposes in accordance with applicable law.
Where an Event includes sponsors, partners, exhibitors, or co-hosts, your information may be shared with them where such sharing is disclosed during registration or at the Event. Sponsors, partners, exhibitors, or co-hosts may also collect information directly from you where you choose to engage with them in connection with the Event.
You are responsible for ensuring that any information you provide is accurate and that you have all necessary rights and permissions to provide it.

We, our affiliates, Event partners, contractors, and service providers may photograph, film, livestream, record, or otherwise capture Event activities, including your name, image, likeness, voice, statements, presentation, and participation.
By attending or participating in an Event, you grant us and our affiliates a worldwide, royalty-free, sublicensable, transferable, and irrevocable right to use, reproduce, edit, publish, distribute, display, and create derivative works from such recordings, photographs, and other captured content for business, marketing, promotional, training, educational, internal, and archival purposes.
If you submit, upload, present, post, or otherwise provide any materials in connection with an Event, including slides, comments, questions, feedback, biographical details, or other content (“Your Materials“), you grant us and our affiliates a worldwide, royalty-free, sublicensable, transferable, and irrevocable license to use, reproduce, modify, distribute, display, and otherwise exploit Your Materials in connection with the Event and our business.
You represent and warrant that Your Materials are accurate to the best of your knowledge, that you have all rights necessary to provide them, and that they do not infringe, misappropriate, or violate the rights of any third party.
To the extent permitted by law, you waive any moral rights or similar rights you may have in recordings, photographs, and Your Materials.
If an Event requires payment, all fees must be paid in accordance with the payment instructions provided during registration.
Unless otherwise stated, fees are exclusive of applicable taxes, duties, levies, or similar governmental charges. You are responsible for all taxes applicable to your registration or participation, except for taxes based on our net income.
We may collect applicable taxes where required by law. If you are entitled to an exemption, you are responsible for providing valid exemption documentation before payment is due.
6.1. Cancellation or Changes by Us
If a paid Event gets cancelled and you are not in breach of these Terms, we will provide a refund of the registration fee actually paid by you, unless stated otherwise. We are not responsible for travel, lodging, loss of business, or other costs or damages arising from Event cancellation, postponement, relocation, or modification.
6.2. Survival
Sections relating to privacy, recordings, Your Materials, taxes, cancellation effects, compliance, assumption of risk, release, limitation of liability, miscellaneous provisions, governing law, and definitions will survive cancellation, expiration, or termination of these Terms.
You represent and warrant that you are not subject to sanctions, export restrictions, or other restrictions that would prohibit your registration for or participation in the Event.
You agree to comply with all applicable laws and regulations, including anti-bribery, anti-corruption, trade sanctions, export control, and data protection laws.
If you are a government official, employee of a public-sector entity, healthcare professional, or otherwise subject to gift, ethics, procurement, or similar rules, you are responsible for confirming that your participation in the Event is permitted under those rules.
We may deny or cancel your registration if we believe your participation may violate applicable law, regulation, or policy.
Your attendance at and participation in any Event is voluntary.
You acknowledge that Event participation may involve risks, including travel, illness, physical injury, property loss, cybersecurity risks for virtual Events, and interactions with third parties. To the maximum extent permitted by law, you assume all risks associated with attending, accessing, or participating in an Event.
You are responsible for arranging your own travel, accommodation, insurance, equipment, internet connection, and other requirements necessary to participate in the Event.
To the maximum extent permitted by law, you release HiBob, its affiliates, and their respective directors, officers, employees, contractors, representatives, agents, successors, and assigns from claims, demands, liabilities, losses, damages, costs, and expenses arising out of or related to your registration for, attendance at, access to, or participation in an Event, including any recordings, photographs, Your Materials, or interactions with other Event participants.
Nothing in these Terms limits liability that cannot be limited under applicable law.
To the maximum extent permitted by law, HiBob, its affiliates, licensors, service providers, Event sponsors, and partners will not be liable for any indirect, incidental, special, consequential, punitive, or exemplary damages, or for any loss of profits, revenue, business, goodwill, data, or opportunity, arising out of or relating to an Event or these Terms.
To the maximum extent permitted by law, our total aggregate liability arising out of or relating to an Event or these Terms will not exceed the amount you paid to us to attend the applicable Event or, if no fee was paid, USD $100.
For virtual or hybrid Events, you are responsible for ensuring that you have the technology, equipment, software, and internet access required to participate.
Your use of any third-party Event platform may be subject to that platform provider’s own terms and privacy notices. We are not responsible for the availability, security, performance, or content of third-party platforms.
You may not record, copy, download, screenshot, scrape, distribute, or make available Event content unless we expressly authorize you to do so in writing.
All Event content, including presentations, materials, recordings, agendas, designs, logos, trademarks, software, demonstrations, and other materials made available by us or our licensors, is owned by us, our affiliates, our partners or our licensors.
Certain Event sessions, materials, discussions, demonstrations, or previews may be designated as confidential or non-public. You agree not to disclose, publish, record, or share such information without our prior written consent.
This obligation does not apply to information that is publicly available through no fault of your own, independently developed without use of confidential information, or lawfully obtained from a third party without confidentiality restrictions.
14.1. No Waiver
Our failure to enforce any provision of these Terms will not constitute a waiver of that provision or any other provision.
14.2. Severability
If any provision of these Terms is found to be invalid or unenforceable, the remaining provisions will remain in full force and effect. The invalid or unenforceable provision will be interpreted to achieve its intended effect to the maximum extent permitted by law.
14.3. Force Majeure
We will not be liable for any delay, failure, cancellation, modification, or disruption caused by events beyond our reasonable control, including natural disasters, public health emergencies, labor disputes, utility or communications failures, cyberattacks, venue issues, acts of government, war, terrorism, civil unrest, or other similar events.
14.4. Assignment
You may not assign or transfer these Terms or any rights or obligations under them without our prior written consent. We may assign these Terms to an affiliate or in connection with a merger, acquisition, corporate reorganization, or sale of assets.
14.5. No Third-Party Beneficiaries
These Terms do not create any rights for any person or entity other than you and us, except where expressly stated.
14.6. Changes to These Terms
We may update these Terms from time to time by posting a revised version. The updated Terms will apply to Events after the effective date of the update. The Last Updated date above indicates when these Terms were last revised.
14.7. Entire Agreement
These Terms, together with any Event-specific terms (if applicable), registration page terms, privacy notices, and policies referenced in them, form the entire agreement between you and us regarding the Event.
14.8. Language
If these Terms are translated into another language, the English version will control unless prohibited by applicable law.
These Terms and any dispute arising out of or relating to them or an Event will be governed by the laws of the country in which the applicable Event is taking place, without regard to conflict of law principles.
“Event” means any event, webinar, conference, roundtable, workshop, meeting, training, livestream, virtual event, hybrid event, or other program hosted, sponsored, organized, or made available by us.
“Event Sponsor” means a third-party sponsor, partner, exhibitor, co-host, or similar participant involved in an Event.
“Event Materials” means content, materials, recordings, presentations, documents, software, demonstrations, and other materials made available in connection with an Event.
“Your Materials” means any materials, content, comments, questions, feedback, biographical information, presentation materials, or other information that you submit, upload, provide, present, or make available in connection with an Event.
Additional terms may apply to specific Events, including health and safety rules, venue rules, refund policies, sponsor terms, promotional offers, travel arrangements, certification requirements, or rules for contests, giveaways, or networking activities.
If there is a conflict between these Terms and Event-specific terms, the Event-specific terms will control for that Event only.
